What is a project?
Projects are temporary endeavors undertaken to create unique products, services, or results. Every project represents a body of work or a set of tasks that are planned and executed in a defined period of time.
Projects are made up of:
- Teams
- Members
- Guests
Project permissions
Access to a project can be either public or private.
Public projects
Public projects are open to the organization and can be accessed by the following:
- All Organization Members
- Project Owner
- Executive Sponsor
- Project Members
- Project Guests
- Project Teams
Private projects
Private projects are are only visible to the people who are working on the project. These projects can be accessed by the following:
- Project Owner
- Executive Sponsor
- Project Members
- Project Guests
- Project Teams
Roles in a project
There are 6 types of roles within a project:
- Project Owner
- Executive Sponsor
- Project Members
- Project Guests
- Project Teams
- Public Project Viewer
Project Owner
A Project Owner is typically a leader in, or the head of the business unit, department, or product that bears the responsibility for the successful planning and execution of the project. Alternatively, this could be the Project Manager.
Who can be assigned a Project Owner?
One, or multiple Members. Additionally, Teams can be assigned as Project Owners.
Who do you recommend I assign as Project Owner?
We recommend that you assign at least the project manager and/or the business, department, or product leader. You should assign the users who will be managing the overall day-to-day project.
Pro tip: Always keep your name as a Project Owner if you are creating the project. Otherwise, you will lose Project Owner permissions. See project permissions for more information. |
Project Owners can do the following:
Project details
- Add Project Teams, Project Members and Project Guests
- Remove Project Teams, Project Members and Project Guests
- Add Executive Sponsor
- Remove Executive Sponsor
- Create and edit project charter
Task groups
- Create task groups
- Rename task groups
- Delete task groups
- Sort tasks within a task group
Tasks
- Create tasks
- Edit all tasks (e.g., Task Name, Status, Assigned, Start Date, Due Date, Description)
- Comment on all tasks
- Delete all tasks
- Create task dependencies across all tasks
- Delete task dependencies across all tasks
Executive Sponsor
An Executive Sponsor is the most influential senior leader who is accountable for the project’s success. The executive sponsor helps set the objectives of the project and he/she must have the power and ability to make executive decisions and commit resources toward the project. He/she has direct accountability to senior leadership and has the ability to clear any roadblocks that come up.
Executive Sponsors can do anything a Project Member can do.
Project Members
A Project Member is a colleague of yours that is a part of the project.
Project Members can do the following:
Project details
- Read Project Teams, Project Members and Project Guests
- Read project charter
Task groups
- Create task groups
- Rename task groups
- Sort tasks within a task group
Tasks
- Create tasks
- Edit tasks you are assigned to (e.g., Task Name, Status, Assigned, Start Date, Due Date, Description)
- Read tasks you are not assigned to
- Comment on all tasks
- Delete tasks you are assigned to
- Create task dependencies in tasks you are assigned to
- Create task dependencies in tasks you are assigned to
Project Guests
A Project Guest is a client, contractor, consultant, lawyer, or any other third party that is a part of the project.
Project Guests can do anything a Project Member can do.
Project Teams
A Project Team is a grouping of members and guests that are a part of the project.
Members and Guests within a Project Team can do anything a Project Member can do.
Public Project Viewer
A Public Project Viewer is any Member that is not a part of the project but is viewing the project.
Public Project Viewers can only read, or view the project details. However, they cannot edit any project or task details.
